Education KPIs Should Connect Enrollment to Student Experience
Education, tutoring and child-focused franchises need to understand how effectively locations attract families, convert interest into enrollment, retain students and use instructor capacity.
1. Cost per Qualified Lead
CPL = Marketing Spend ÷ Qualified Leads
Use a consistent definition of a qualified lead across locations and channels.
2. Lead Volume
Track qualified inquiries over comparable periods and account for seasonal patterns where appropriate.
3. Trial or Introductory Session Volume
Where the concept uses trials, assessments or introductory sessions, monitor how many prospective students reach that stage.
4. Trial-to-Enrollment Conversion
Conversion Rate = New Enrollments ÷ Completed Trials × 100
This helps distinguish demand issues from the quality of the trial and follow-up process.
5. New Enrollments
Track the number of students who begin paid programs during a defined period.
6. Attendance Rate
Attendance Rate = Sessions Attended ÷ Sessions Scheduled × 100
Attendance can provide an early signal of engagement and retention risk.
7. Student Retention
Track the percentage of existing students who remain enrolled through a defined period using a consistent methodology.
8. Customer Experience
Use a consistent measure such as NPS, CSAT or parent feedback to understand whether the learning experience meets expectations.
9. Instructor Utilization
Compare instructional hours delivered with available instructor capacity to understand staffing and scheduling efficiency.
10. Unit Economics
Track profitability or another consistent unit-level financial measure using the organization’s accounting standards.
Use KPIs to Find the Constraint
Enrollment can be weak because lead volume is low, trial conversion is poor or retention is declining. Reviewing the full funnel helps operators identify the constraint before choosing an intervention.
Turn KPI Gaps Into OKRs
Once a material gap is identified, define an objective, measurable Key Results and initiatives that the location can influence.
